Application as a Doctoral Candidate

  • Form Statistics

    Since 2017 universities have been obliged to collect data on the number and various characteristics of their doctoral candidates according to the University Statistics Law (Hochschulstatistikgesetz HStatG). Please complete the form for collecting these data after you have submitted your application form as a doctoral candidate. User name and password will be provided by the Office for Doctoral Affairs. Your name will be passed on in encrypted form. Should you have questions concening the completion of the form, please do not hesitate to contact the Office for Doctoral Affairs.

  • kiz Account for non-members of Ulm University

    Doctoral candidates that are neither enrolled nor employed at Ulm University may apply to the Office for Doctoral Affairs for a kiz account. To do so, please send a short message and the completed declaration of consent with regard to the processing of personal data to the Office of Doctoral Affairs. (Here you will find the translation of the form.)

Initiation of the Doctoral Proceedings

  • Preparations

    Please contact the doctoral office prior to the submission of your thesis in order to guarantee that the examination procedure will be opened  properly. Please provide the information as stated below:

    • your current address
    • title of your thesis
    • kind of thesis: monographic, cumulative
    • To what extent do co-authors contribute to your thesis?
    • name of the reviewers, name of the additional member of the Examination Board

    For the submission of the doctoral thesis the following forms are required:

Oral Examination

  • Scheduling

    Please find information on rules and deadlindes for the setting of the oral examination date in the letter doctoral candidates will receive on submitting their doctoral thesis. Doctoral candidates will be informed via email when the thesis and the corresponding evaluations are available for inspection.

    We recommend the doctoral candidate to start scheduling only after the Doctoral Committee has received the evaluations that are then available for inspection.

    Doctoral candidates arrange the dates for the oral examination in consultation with the members of the Examination Board (§ 9 (1) of the Doctoral Degree Regulations Dr. rer. pol.) and organize a room and – if required – the necessary equipment (e. g. projector). External doctoral candidates may ask their supervisors’ secretaries for help in this matter.

    Example: The period for inspection (10 working days) ends on Friday 16 June 2017. On the next working day, Monday 19 June 2017, the Doctoral Committee may accept the doctoral thesis officially and subsequently send out the invitation for the oral examination. The invitation has to be made at least one week prior to the exam day. In that case, the earliest possible date for the oral examination would be Monday 26 June 2017.

    It is NOT possible to shorten the time limits. Neither can we guarantee that the earliest possible date can be arranged.

  • Approximate Timetable

    The oral examination proceeds as follows (duration approx. 1.5 h):

    • Presentation of the doctoral thesis (approx. 30 min)
    • Defense 
    • Presentation of the thesis statement (approx. 10 min)
    • Discussion of the thesis statement

    Afterwards, the Examination Board decides whether the candidate has passed the examination and which grade is awarded in a closed session (pursuant to §12 (5) Framework Regulations for Doctoral Studies of Ulm University). Subsequently, the candidate is informed about the result of the examination and receives a provisional certificate on the result.
