Housing Acceptance

The International Office tries to reserve a room in one of the student residences for all students, who request this service. Housing assignments will be sent by eMail attachment. Please print out the attached "Housing Acceptance Form", indicate whether you accept or refuse the room, sign and return it to us within 1 week. If you accept the room we are offering you, you must make a security deposit of EUR 300. Please fill out the attached authorization for payment of this amount by credit card.

In addition, you must also send the original documents by regular post to:

Sign up for Orientation

Even though you were asked on your ERASMUS/EXCHANGE application form whether you want to participate in the Intensive German Language Course or not, we need more definite information in order to finalize the orientation program and organize the courses at the appropriate levels.

Therefore, please print out, complete and sign the orientation sign-up form.

If you are going to participate in the intensive German language course, please also complete the online placement test.

All ERASMUS/EXCHANGE students will be assigned to a personal S.T.E.P.S. tutor who will meet them at the train station, escort them to their room and assist them with all formalities during the first days after their arrival. In order to match all incoming students with a tutor, we need to have precise information about day and time of arrival

Please print out and complete the arrival notification form. You can send the form by fax (++49–731–50 22 0 16) or by eMail to Ms. Margit Kast. at least 10 days before your intended arrival.

PREPARING TO GO ABROAD

Travel Planning

In planning your travel to Ulm, you should keep a number of things in mind:

Arrival Days: Please recall that it is usually not possible to move into your room in a student residence on the first day(s) of any given month. Particularly during orientation period and at the beginning of a semester, when large numbers of students arrive, there are certain arrival dates specified. If you arrive before these dates, you must make arrangements to stay in the youth hostel or hotel at your own expense until moving in is possible.

All incoming ERASMUS/EXCHANGE students will be picked up by their S.T.E.P.S. tutor at the train or bus station in Ulm or Neu-Ulm. It is not possible to arrange for pick-ups in other locations.

S.T.E.P.S. tutors work as volunteers. Do not expect to be picked up in the middle of the night. Time your travels so that you arrive in Ulm between 8:00 a.m. and 10:00 p.m.

Your S.T.E.P.S. tutor will contact you via eMail. You should exchange phone numbers and photos so you will recognize each other easily.

Financial Planning

Students who enter on a visa and have to apply for a residence permit after arrival must bring with them documents as proof of financial resources.

You should plan to bring at least € 700 in cash to make initial payments such as rent, insurance, administration fees, miscellaneous expenses during your first month in Ulm.

Attention scholarship holders: Please note that you will usually receive your first scholarship payment only at the beginning of your second month of stay. Please make sure that you have enough ready money to cover all expenses during your first month. Make sure to give your scholarship agency your banking information immediately after you have opened your bank account.

Credit Cards

Please note that credit cards are accepted in hotels and restaurants, for car rentals or the purchase of train tickets and in certain shops, but not in grocery stores, or the student cafetrias or restaurant (Mensa) on campus.

Although you must pay the security deposit for your room by credit card, credit cards are not accepted for monthly rental payments; instead, you have to open a German bank account after arrival and authorize Studentenwerk for making withdrawals.

  • Passport (non-EU nationals) or identity card (sufficient for EU nationals)
  • Entry visa
  • 4 passport pictures
  • Scholarship letter (if applicable)
  • Statement of financial support (parent or bank letter, in English or German or certified translation)
  • Proof of health insurance (if applicable)

Recommended Things to Bring

  • Medication: if you need permanent medication, don’t forget to bring your medicine. It might be much more expensive to buy it in Germany. Don’t send any medicine/drugs by mail. It will be seized by customs.
  • Mugs, pots, cutlery…..
  • Sleeping bag (for travel)
  • International Student Identity Card (ISIC)
  • Photo copies of your travel documents (passport, tickets etc.); keep them separate from the originals
  • Module descriptions of the courses you have taken at your home university (recommended for students from non-European partner universities)
