Open Access funding at Ulm University

Support in the field of Open Access is provided by two funds: the OA Fund of Ulm University (for non-medical subjects) and the OA Fund of the Medical Faculty.

Depending on the affiliation of the corresponding author, please note the respective conditions, notes and the procedure for reimbursement of article fees.

OA-Funds of Ulm University (non-medical subjects)

For corresponding authors from the Faculties of Natural Sciences (NAT), Engineering, Computer Science and Psychology (ING/INF/PSY), Mathematics and Economics (MA/WI).

Conditions (2018)

  • Only publications that appear in original Open Access journals and that apply strict quality assurance procedures recognised in the respective subject ("Gold OA") are eligible for funding.
  • Papers published in journals requiring subscription (according to the "Open Choice" model, etc.) are not eligible for funding.
  • A member of the university is responsible for the payment of the article as a corresponding or submitting author.
  • Article fees can only be refunded if the maximum amount of 2,000 euros is not exceeded.

Notice

  • Reimbursement only if no third-party funds are available for payment.
  • Payment of the invoice from the department cost centre; the item fees can only be reimbursed to the cost centre used for the payment of the invoice.
  • Reimbursement will only be made after publication.
  • The articles are to be documented in the institutional repository of Ulm University (OPARU).
  • Funded publications will be documented in a list on the kiz website and at OpenAPC.

Process

For a refund, please send us by e-mail

  • a proof of publication (e.g. DOI),
  • a copy of the original invoice,
  • and a copy of the debit of the final amount actually paid from your department cost centre (SAP statement of the posting)

to the Open Access Commissioner Uli Hahn.

Central invoicing by the kiz

For the publishing houses MDPI, Frontiers and the magazine PLOS One, kiz will reimburse the authors directly if the article to be sponsored meets the funding conditions. In this case, the author will no longer receive an invoice.

  • MDPI: If you publish in a MDPI journal and select Ulm University as your home institution, you will receive a 10% discount on the article fee. From 2018 articles can be reimbursed by the kiz via a central invoice. Articles from 2017 may be submitted for reimbursement.
  • Frontiers: If you publish at Frontiers you can choose the institutional membership of Ulm University. If your article is eligible for fund support, the university will process the invoice directly with Frontiers. If your article is not eligible, you will receive an invoice from the publisher as usual.
  • PLOS: At the publishing house PLOS, articles in the magazine PLOS One are handled directly by the kiz. Articles in other journals can be submitted for subsequent reimbursement if they meet the funding condition.

OA-Funds of the Medical Faculty

Conditions (2018)

  • Only publications that appear in original Open Access journals and that apply strict quality assurance procedures recognised in the respective subject ("Gold OA") are eligible for funding.
  • Papers published in journals requiring subscription (according to the "Open Choice" model, etc.) are not eligible for funding.
  • A member of the university is responsible for the payment of the article as a corresponding or submitting author.
  • The fund can reimburse a maximum of 50% and a maximum of 2,000 euros per article.
  • Only articles that have appeared in journals with an Impact Factor (IF) of 3.0 or more or which rank among the best 20% of the respective subject area are eligible for funding.

Notice

  • Reimbursement only if no third-party funds are available for payment.
  • Payment of the invoice from the department / clinic cost centre; the item fees can only be reimbursed to the cost centre, used for the payment of the invoice.
  • Reimbursement will only be made after publication.
  • The articles are to be documented in the institutional repository of Ulm University (OPARU).
  • Funded publications will be documented in a list on the kiz website and at OpenAPC.
  • 35,000 euros will be available in 2018. Funds are allocated according to the FIFO principle.

Central invoice payment by the kiz (for authors of medical subjects)

Please note (only medicine): For all articles that are processed by the kiz via central invoice, the kiz charges 50% of the final amount to the department/clinic to which the corresponding author belongs! If you want to avoid this, we will not include your item in the central invoice.

  • Frontiers: If you publish at Frontiers you can choose the institutional membership of Ulm University. If your article is eligible for support through the medical OA fund, the university will process the invoice directly with Frontiers. If your article is not eligible, you will receive an invoice from the publisher as usual.
  • MDPI: If you publish in an MDPI journal and select Ulm University as your home institution, you will receive a 10% discount on the article fee. From 2018 articles can be reimbursed by the kiz via a central invoice. Please note the above conditions!
  • PLOS: Articles in the magazine PLOS One cannot be submitted by the reimbursement fund with the current funding conditions of the medical faculty. Articles in other PLOS journals may be eligible if they meet the conditions above.


Memberships with Open Access publishers

Detailled information on the central cost reimbursement for the publishers Frontiers, MDPI and PLoS can be found below the funding information for each respective fund. Current memberhships:

APC reimbursement in third-party funded projects

Anyone who publishes research results in externally funded projects may often be able to claim the costs of Open Access publications through the respective third-party funding provider:

  • BMBF: As of 1.9.2017, Open Access publications resulting from BMBF projects will be funded after the project ends. Up to an amount of 2,000 euros (net) per publication, full support is provided for publication expenses. If publication costs exceed 2,000 euros (net), an additional 20% of the additional amount will be funded. The maximum funding for each publication is 2,400 euros (net). The exact funding conditions can be viewed at the BMBF.  The term of the Directive has been set until November 2021.
  • DFG: For detailed information about funding Open Access publication fees in DFG projects, please refer to DFG Form 2.023 "Publication Grants in Open Access Journals" ("Publikationsbeihilfen in Open Access Zeitschriften").
  • EU – FP7: With its FP7 Post-Grant Open Access Pilot, the European Commission is funding Open Access with 4 million euros. Up to 3 publications per FP7 project can be funded later on. The funding is intended for project publications that are only submitted after the end of the project and are therefore no longer directly eligible for funding through project funds themselves.  Further information and the exact funding conditions can be found on the OpenAIRE website.
  • EU - H2020: Projects in the Horizon2020 research framework programme should calculate the funding of Open Access already in the application phase. Details can be found on our Horizon 2020 theme page.
