Open Access Funding at Ulm University

Please check the funding requirements and the additional information before submitting your open access article. 

For co-funding open access articles two funds are available:

  • OA-funds of Ulm University for non-medical subjects
  • OA-funds of the medical faculty

Since November 11th 2020, the funding criteria have been harmonized.

Open Access Funding

  • Only publications that are published in original OA journals and that apply strict quality assurance procedures recognised in the respective field of research ("Gold OA") are eligible for funding.
  • Articles that appear in journals that in principle require subscriptions (according to the "Open Choice" model, etc.) are not eligible for funding.
  • A member of the university is responsible for payment of the article as Corresponding or Submitting Author.
  • Article fees are co-funded on a pro-rata basis of 50%.

Explanation of terms:

  • Original OA journals: Journals that publish exclusively Open Access articles - Fully OA.
  • Subscription journals: Journals for which a subscription fee is due for reading. Articles that are also voluntarily made Open Access -hybrid OA- are not eligible (exception: Open Access transformation contracts).
  • Strict quality assurance procedures: As a rule, this means peer review or a corresponding quality assurance procedure recognised in the discipline. The kiz also checks whether the journal is listed in the Directory of Open Access Journals (DOAJ) and in at least one of the subject-recognised databases for literature searches. In case of doubt, especially if there is a suspicion of predatory publishing, no funding will be granted. Please clarify the journal's eligibility for funding ideally before submission, preferably by email to oa [at] uni-ulm.de.
  • Corresponding/Submitting Author: Since OA funding follows international regulations and there should be no double payments, the fund-managing institutions have agreed to pay OA funding only to authors who are also responsible for the accounts. First or last authorship in the sense of scientific relevance therefore plays no role in this context.

Further requirements for the granting of funding:

  • Reimbursement only if no publication funds from third-party funded projects can be claimed.
  • Payment of the invoice from department/clinic cost centre, reimbursement of article fees can only be made to this cost centre.
  • Reimbursement will only be made after publication.

If you apply for funding

  • your article will be published in the institutional repository of the University of Ulm (OPARU),
  • your article will be listed on the kiz website and in the OpenAPC database.

Even if continuous funding is sought, the available funds are available according to the FIFO principle.

  • The open access fund of the medical faculty for 2021 is depleted. Funding applications received by the kiz after Oct. 13th 2021 (equivalent dashboard decisions regarding Frontiers, Wiley and Springer Nature) can no longer be approved.
  • For the central billing of articles in the publishing houses Frontiers, Springer Nature and Wiley, this means in particular:
    • Articles will continue to be processed through the kiz central invoice for discount credit (where applicable),
    • However, 100% of the costs will be passed on to the authors.
    • This applies to articles decided for inclusion in the collective invoice on the kiz central dashboards from 13.10.2021 onwards.
    • Articles that have been accepted for payment by the kiz on the respective dashboards up to and including 12.10.2021 can still be funded on a pro-rata basis at 50%.
  • OA licensing of individual articles in hybrid journals funded under OA transformation agreements are not affected by the 2021 OA funding freeze.
  • The funding conditions adjusted in the year 2020 apply to all articles accepted for publication from Nov. 1st 2020 and later.

Please use the reimbursement form for your application.

For a funding application from the Open Access Funds you need:

  •  a proof of your publication (preferably a DOI link),
  •  a scan of the original invoice as a PDF,
  •  as well as an SAP voucher showing the amount of the final sum actually paid as well as the cost centre (directly as an SAP statement as "hardcopy" or via account information).

Does not apply to the following publishers, as these are paid centrally by the kiz via a collective invoice. The authors will be charged their own contribution:

  • Springer DEAL title list
  • Wiley DEAL title list
  • Frontiers

  • If your item is part of a central invoice, we will request a cost centre by e-mail to retrieve the personal contribution.
  • In case you indicate a cost centre of the university hospital, the amount will be invoiced to the university hospital by the kiz. This invoicing takes place without the participation of the authors.
  • Articles in the open access journals at Springer Nature and Wiley fall under the funding conditions of the open access funds and require a personal contribution from the authors.

Wiley (2019 - 2021): Ulm University participates in a national Wiley contract that covers open access publication charges. Detailed information about the publication workflow as well as title lists can be found on Wiley's website.

  • Hybrid Open Access (HOA) journals: Articles in regular "hybrid" Wiley journals are covered in terms of the agreement from an accepted date as of 1st of July 2019 or later. The open access option in Wiley's onlineopen journals can be applied without additional costs for the authors.
  • Fully Open Access journals: Accepted articles in gold open access journals are included within the agreement from 22nd Jan. 2019 or later. Please note that costs in those journals are subject to the regular oa funding program of ulm university. Articles submitted from September 2020 onwards can only apply for 50% of the article costs. Please inform yourself about the costs that will be charged before submission of your article.

Springer (2020 - 2022): Ulm University participates in a national Springer Nature contract that covers open access publication charges. Detailed information about the publication workflow as well as title lists can be found on Springer's website.

  • OpenChoice journals: The open access option in Wiley's onlineopen journals can be applied without additional costs for the authors.
  • Fully Open Access journals: Please note that costs in those journals are subject to the regular oa funding program of ulm university. Articles submitted from September 2020 onwards can only apply for 50% of the article costs. Please inform yourself about the costs that will be charged before submission of your article. The regular list prices are discounted within the DEAL agreement.

Central Invoices & Discounts

Current memberships:

  • Frontiers: Price-Cap at 2.000 Euros (incl. VAT), if article  is paid centrally via kiz/Ulm University.
  • MDPI: 10% Discount for all authors affiliated with Ulm University.

Open Access Publishing Agreements

  • American Institute of Physics (AIP) 2021-2023: All articles can be published open access. Please contact us directly for further details.
  • Cambridge University Press (CUP) 2019-2021: Articles in all hybrid journals (e.g. journals that have an open access option but that are no open access journals,) shall be published open access. Authors affiliated with Ulm University can apply for the article to be processed as open access article. There will be a waiver during the payment process that will set the invoice amount for the author to zero. Further information regarding the workflow can be found at a dedicated website at CUP. Discounts for article fees

  • AAAS/Science: Authors of the University of Ulm are entitled to a 15 % discount in Science Advances via participation in the TIB consortium agreement with AAAS. The discount must be actively selected by the author during the payment process via RightsLink using the "Apply Discounts" button.
  • AIP: Under the current OA transformation agreement with TIB, all articles published between 2021 and 2023 by corresponding authors with affiliation to Ulm University will be published OA at no additional cost to the authors.
  • IOP: The University of Ulm is entitled to five free articles in IOP journals through its participation in the TIB consortium agreement with IOP. IOP will contact the kiz for eligible articles. Authors do not have to take any further steps.
  • PNAS: All articles published in PNAS are freely available via PNAS and PubMed Central after a six-month period. Authors seeking immediate open access publication will receive a 24% discount ($1,150 instead of $1,500).
  • RSC: For 2021, a discount of 15% for authors of Ulm University applies to articles in hybrid journals. To claim the discount, the email address of the corresponding author must end with @uni-ulm.de. The discount does not apply to the RSC's open access journals.

Anyone who publishes research results in externally funded projects may often be able to claim the costs of Open Access publications through the respective third-party funding provider:

  • BMBF: As of 1.9.2017, Open Access publications resulting from BMBF projects will be funded after the project ends. Up to an amount of 2,000 euros (net) per publication, full support is provided for publication expenses. If publication costs exceed 2,000 euros (net), an additional 20% of the additional amount will be funded. The maximum funding for each publication is 2,400 euros (net). The exact funding conditions can be viewed at the BMBF.  The term of the Directive has been set until November 2021.
  • DFG: The project based publication grants were adjusted in March 2021. The reimbursement of article fees is no longer possible. For detailed information on the funding of open access publications (now: "basic material" and "works of exceptional scientific importance") in DFG projects, please refer to DFG form 51.10 "Guidelines Publication Grants".
  • EU - H2020: Projects in the Horizon2020 research framework programme should calculate the funding of Open Access already in the application phase. Details can be found on our Horizon 2020 theme page.
