Housing Acceptance

The International Office tries to reserve a room in one of the student residences for all students, who come to Ulm University in the framework of an exchange programme with a partner university (Erasmus+, SEMP, bilateral and Baden-Württemberg programmes). We regret that we cannot offer this service to free movers or Erasmus+ trainees.

If we are successful in finding a room for you, you will receive your housing assignment by eMail. Please print out the attached "Housing Acceptance Form", indicate whether you accept or refuse the room, sign and return it to us within 1 week.

You can send the document by fax (++49–731–50 22 0 16) or by eMail to your contact person at the International Office.

In addition, you must also send the original document by regular post to:

If you accept the room we are offering you, you must make a security deposit of EUR 300, payable to Studentenwerk via international bank transfer. Please make sure that the full amount is received by Studentenwerk within two weeks. Bank details will be included in our eMail.

Sign up for Orientation

The International Office organizes a month-long orientation course Intensive German Language & Culture prior to the start of each semester in March/April and September/October. This program is open for students, who come to Ulm University within the framework of an exchange programme (like Erasmus+, SEMP, GUC, bilateral and Baden-Württemberg programmes). Sadly Free Movers and Erasmus+ Trainees are not able to participate, not even on a fee-paying basis.

Even though you were already asked on your study abroad application form to indicate if you want to participate in this orientation course, in order to finalize the orientation program and organize the courses we need your definitive confirmation. After completing the online placement test, a PDF will be generated, which you have to submit to the International Office within a given deadline. You can send your results by fax (++49–731–50 22 0 16) or by eMail to your contact person at the International Office. It is not necessary to send them by regular post. Detailed instructions will be included in the acceptance letter.

Note to ERASMUS students: under the new program Erasmus+, you are required to do an online language test (OLS) before and after your mobililty in order to document your linguistic improvement. The OLS is a different test, and we do not receive these results. And even if we would get these results, we could not use them for placing you in the right learning group of the intensive German language course offered by us, because not only Erasmus students partipate in this course, but many other students who cannot take the OLS test. Therefore, also Erasmus students must take our online placement test.

Arrival Notification

All ERASMUS/EXCHANGE students will be assigned to a personal S.T.E.P.S. tutor who will meet them at the train station, escort them to their room and assist them with all formalities during the first days after their arrival. In order to match all incoming students with a tutor, we need to have precise information about day and time of arrival.

Before planning your trip, please refer to the Academic Calendar or the Preliminary Programme in order to find out what the arrival days are. We regret that we cannot accommodate you before those dates. Please note that our S.T.E.P.S. tutors are volunteers. Therefore you should not not expect to be picked you up before 8:00 a.m. or after 10:00 p.m.

Hospital ID

All students carrying out electives, rotations or research projects in any of the university hospitals of Ulm University (Universitätsklinikum Ulm) need to have a hospital ID (Klinikumsausweis). Please take note, that you need some documents from your Home University / Home Country. The Hospital ID card will be issued only after receipt of all necessary documents. It is not possible to enter the clinics without a valid Hospital ID Card.

The hospital ID will be issued after arrival by the administration office of the clinics. In order to do so, you need to go personally to the address mentioned below. Please bring the following documents:

  • confirmation of enrolment at the home university, covering the whole period until the end of the planned stay at Ulm University, but at least the first semester
  • EU nationals: copy of national ID (please also bring the original document for verification)
  • Non-EU nationals: copy of passport and valid visa (please also bring the original documents for verification)
  • enrollment certificate of Ulm University
  • "Bescheinigung für Studierende in offiziellen Austauschprogrammen" issued by the International Office (you will receive this form )
  • vaccination certificate for hepatitis A + B, rubeola, varicella
  • if you are going to be in the paediatrics or assist at childbirth : extended police clearance certificate
  • 5 Euro in cash as a security deposit for the card
  • your address in Ulm
  • please also bring clean white shoes, clothes will be provided

You may fill in the required application form personally at the administration office. Thereafter you will receive the Hospital ID Card and further information about clothes and how to use the ID Card.
