At the end of the lecture period, we will inform you about our progress under difficult conditions and our plans for the coming months.

In the first half of 2025, numerous staff shortages made it difficult for us to keep to our project plans. As a result, we will have to postpone some milestones. This primarily affects the doctoral and research management segments. The good news is that we have been able to initiate and in some cases already finalise recruitment procedures.

Even under these difficult conditions, we can report progress:

As part of the EXA4UUlm project to migrate our examination and course management system to the new campus portal, work has begun on migrating the examination regulations and examinations from the old system to the campus portal. The first examination regulations have been successfully migrated. Our service providers were impressed by the clean structure of the examination regulations. The next step is to check whether the performance data of the students assigned to these examination regulations also arrive in the new campus portal without errors.

In a two-day workshop, the Student Administration Office and the FakU team had our HIS consultant show them which processes relating to the management of examination regulations can be optimised and digitalised across all subjects in the new campus portal. In the coming months, they will now look at the use cases at Ulm University with a view to the new system.

The transfer of our application and admission procedures to the new campus portal has cleared another hurdle. In the winter semester 2025/2026, the application and admission procedure for the higher semesters of the Dentistry degree programme will take place in the new campus portal for the first time.

Due to an acute shortage of staff, the doctoral management and research management teams have had to scale back their targets. We have had to postpone important milestones until 2026 and extend project durations. This does not affect the process planning in either project. The existing role and rights concepts for the new campus portal will be improved and clarified. Communication plans, handouts and instructions for the use cases of doctoral candidate management and third-party funding notification are being prepared.
