Autumn Update 2026: Next steps for the HISinOne Campus Portal at Ulm University

Ulm University

Ulm University's HISinOne Campus Portal continues to develop. This quarterly update gives a concise overview of the key results from the third quarter of 2026 and outlines the steps planned for the fourth quarter. The focus is on preparing doctoral candidate administration, expanding research management and further developing course management, examination organisation and reporting.

Research Management (RES)

In the RES area, the ‘Projects’ module (third-party funding notification) was increasingly integrated into everyday administrative work. Several training sessions were held for staff from Ulm University and Ulm University Hospital, accompanied by the development of wiki and FAQ resources. At the same time, work continued on bringing the ‘Miscellaneous’ work package (e.g. patents, awards, research infrastructure) into production.

In October 2026, the ‘Publications’ workshop will take place to prepare configuration based on the target processes (e.g. data entry, interfaces to the OPARU repository, ORCID etc.). In addition, the internal administrative use of further RES functions (the ‘Miscellaneous’ work package) is commencing. The aim is, in the medium term, to record and evaluate third-party funded projects and publications directly in the Campus Portal.

Doctoral Candidate Administration (DOC)

For digital doctoral candidate administration, the ‘Application for acceptance as a doctoral candidate’ function was tested further in the third quarter. The doctoral programmes were modelled in HISinOne in line with Ulm University's requirements. A concept was also developed for granting rights to the doctoral degree offices in compliance with data protection requirements.

The application for acceptance function is scheduled to go live in November 2026. Furthermore, final tests will be carried out, the doctoral degree regulations will be mapped, and data imports for current doctoral candidates and external supervisors (e.g. from Ulm University Hospital) will be prepared so that they can be included in the processes.

Course, Programme and Examination Management (EXA)

In the EXA area, the roles for faculties in examination management (e.g. coordination roles, teaching staff) were initially configured, and the migration of examination regulations continued. The technical preparation for the room data migration is largely complete; the final transfer of room data is planned for the go-live. Some reports and documents, such as the Transcript of Records, have already been largely implemented; work is under way on examination certificates and official notifications.

In the fourth quarter, role configuration will begin for the Studiensekretariat (student administration and examinations office). In addition, the definition of the target processes and data migration for the Medicine (State Examination) and Dentistry (State Examination) programmes will be taken forward, starting with a workshop in November 2026.

Reporting (BI)

In the area of reporting, a new role was introduced for the Quality Development, Reporting and Audit Unit, along with new reports in the Campus Portal. In addition, a reporting framework was technically developed which enables more comprehensive reports and analyses via Excel exports while also significantly reducing the development workload.

In the fourth quarter, the focus will be on the timely provision of student statistics, previously available via the SAP Portal, on the Campus Portal. Furthermore, additional standard reports are to be implemented and the user group for the ‘BI Expert’ role expanded. Finally, a dedicated portal access point for BI is planned, which is intended to facilitate access to reports for various user groups.
