Two events were particularly important for us in the first quarter: the first was the public meeting of our Steering Committee on 25 February, to which we invited all interested members of the university to provide an update on the status and progress of the transition to our new Campus Portal. We have already published a report on this event.
Secondly, the University of Ulm Campus Portal Team at kiz has upgraded our Campus Portal to the latest version of HISinOne. This version was released in December. The team has used the period up to March to thoroughly test the new version in collaboration with users across faculties and administration, ensuring that the processes and forms we have configured within the portal function correctly with the new version. We would like to thank all key users in the faculties and administration who took part in the functional testing. And we would like to thank all users of the Campus Portal for your understanding regarding the portal downtime. We apologise for any inconvenience this may have caused in a few cases.
The Reporting and Statistics Team is under new leadership since 1 March: Julian Weiß (ZUV, Office for Quality Development, Reporting and Audit) has taken over this role from Beate Quester-Brüning (kiz, Finance and Reporting Systems Team). The BI expert role is now available to degree programme coordinators on the Campus Portal. It replaces the query of student statistics via the SAP reporting portal. During the current quarter, the team will prepare and test the integration of the Research Information System with the HISinOne Data Warehouse. It will also gather further reporting requirements and test the new BI analysis feature.
The Doctoral Student Administration and Research Management Teams are preparing the first product launches on the Campus Portal. From this summer onwards, it should be possible to submit an application for admission as a doctoral student via the Campus Portal. In addition, the first departments will start using the third-party funding display in the Campus Portal. This is an important step towards providing the transparency of third-party funded research (project register) required under the State Higher Education Act in a digital format without any media discontinuity. At the same time, the test phase for recording and documenting patents, prizes and awards in the Campus Portal is beginning. This will also significantly simplify our reporting obligations.
The teams responsible for migrating the examination and course management systems to the new Campus Portal provided a detailed report on their activities and plans for the coming year at the meeting mentioned above. The structures for four degree programmes have now been migrated to the Campus Portal. The student administration team has now begun work on the rule mapping for these degree programmes. Over the coming months, the faculties’ expert team will test the rules. The aim is to create streamlined and efficient structures that enable all users (students, lecturers, examiners, administration) to use the Campus Portal with ease.
At the same time, the faculties’ expert team is preparing to migrate the course data to the Campus Portal. To do this, a wide range of information needs to be added and standardised in the legacy system. Work has already begun.
