2025 was a difficult year for all ongoing Campus Portal projects. Due to unexpected staff shortages and turnover, we were unable to carry out much of the work we had planned for this year. As a result, we have had to extend the duration of the doctoral student administration and research management projects in the Campus Portal and postpone planned product launches
We are delighted with these successes:
The Reporting and Statistics team has compiled the official examination statistics in the BI of our campus portal for the first time. The official student statistics were delivered to the State Statistical Office without error.
The Applications and Admissions team has now migrated almost all application and admission procedures to the campus portal. The old QISZUL system has been taken offline.
The teams responsible for migrating exam and course management to the new campus portal have also made significant progress: since March 2025, the migration of exam regulations and coursework has been tested using a bachelor's and master's degree programme. Solutions for mapping various aspects in HISinOne and for efficient migration have been developed with the aim of minimising rework in the campus portal. The migration of courses linked to examinations has also been successfully tested on a sample basis.
Scripts were developed during the course of the year for Doctoral Student Administration and Research Management in the campus portal. We will use these scripts to import additional data into the campus portal that we need for doctoral candidate administration and research management. Other scripts will be used to mass-create links between data already available in the portal (e.g. between doctoral candidates and their supervisors).
With our portal closure in November 2025, we have created the conditions for a differentiated role and authorisation concept in the campus portal. We have set up an interface to the personnel management system. This saves us from having to manually maintain the data of employees who use or will use functions in the new campus portal in the campus portal itself.
We have set ourselves the following tasks for 2026:
In March 2026, we will carry out the annual release change to the new HISinOne version. The new release will bring functional enhancements, particularly for doctoral student administration and research management, but also for application and admission procedures.
In 2026, the Reporting and Statistics team will move student statistics from the SAP reporting portal to the campus portal.
The Doctoral Student Administration and Research Management teams are planning the first productive launches in the summer of 2026, including the application for acceptance as a doctoral student and a third-party funding notification. To this end, the necessary data and links will be imported into the campus portal in the first quarter using the above-mentioned scripts.
The teams responsible for migrating examination and course management to the new campus portal will continue to prepare for the migration of examination regulations and examination results by making adjustments to the existing system and implementing quality assurance measures. In addition, the first workflows for examination and course management in the new campus portal will be configured in the test environment with the aim of presenting and discussing them within the university.
Anyone who would like to learn more about the progress of our campus portal projects is cordially invited to attend our public steering committee meeting. It will take place on Wednesday, 25 February 2026, from 3 p.m. to approximately 4:30 p.m. in the Senate Hall, Helmholtzstraße 16. A separate invitation will follow.
We would like to thank all colleagues who are involved in the implementation and who have supported us with their continuous feedback.
