Information for Erasmus - Exchange Incoming Students (Start: Fall 2022)

  • The Semester Fee (Semesterbeitrag) has to be transferred to an account of Ulm University, yet it is not a university fee. Instead, it goes to Studierendenwerk, the Student Service Agency which provides accommodation, food, social services etc. The university just checks if all admitted / immatriculated students have actually paid this fee, before forwarding it to Studierendenwerk.
  • Please be sure to read and follow the "Semester Fee Payment Instructions" available on mobility-online, which can be downloaded by clicking on "Learn More".
  • It is of particular importance to give your applicant number (Bew.Nr.) in the reference of the money transfer ("Reason of Payment"), otherwise your payment cannot be matched with your data. You find your number on your personal payment instructions.
  • Make sure that all possible bank fees or charges are deducted from your account. Otherwise, the amount we receive is less than what you owe!
  • The money should be received by Ulm University no later than August 10 (for students starting their mobility in fall).
  • Students who will undergo pre-enrollment should make the money transfer as soon as possible, because proof of payment is required for enrollment.

Only for students who will be participating in the Intensive German Language Course in September.

Take your test Deutsch als Fremdsprache (German as a Foreign Language) and upload the result to mobility-online.

The results of this particular test are needed by the teachers of the courses to plan the lessons according to the specific skills of the different participants in the courses.

Upload in Mobility-Online:

  • Proof of vaccination against measles and COVID19 (copy of your vaccination passport)

    The original vaccination passport must be carried during the exchange studies and presented on request at the respective teaching institutions or clinics.​

Information about housing assignments have been sent via eMail on July 18. You can either accept or refuse the room you have been assigned by

  • completing and signing the housing acceptance form (included in the housing assignment mail) and uploading it to mobility-online by July 25

If you accept the room, you must further

  • send the signed housing acceptance form (hard copy / original signature) via post / courier service to the International Office (to be received by August 1)
  • pay the security deposit, first month's rent, bedding fee and processing fee to Studierendenwerk (N.B.: the recipients and bank details are different from the payment of the semester fee! - details included in the housing assignment)

Please do not send individual inquiries, asking about your personal documents or payments. This creates an enourmous amount of eMail traffic and extra work.
We will receive payment lists from the student housing agency in the first week of August, when we also check the completeness of all the documents. We will contact you via eMail if there is a problem before taking any further steps.

Arrival in Ulm

Optional, but highly recommended:

In order to find a S.T.E.P.S. tutor for you and make the best possible match, we kindly ask you to fill out a little self-profile and send it to us via eMail by August 15. If you do not have a programme that allows you to insert a photo of you into this file, you can send it separately and we will take care of that (make sure that your photo file bears your name). We will use that photo only for this purpose! Of course you are free NOT to send a photo.

If those of you arriving in October do not then have their final travel dates, it is fine to give approximate information for this purpose.

Mandatory:

We do need your exact arrival information at the latest by

  • August 15 (September arrivals)
  • September 15 (October arrivals)

Please log-in to mobility-online and "Fill out Arrival Notification" (a little questionnaire).

We will put you in contact with your S.T.E.P.S. tutor in the last week of August / September.

Medical Students Only

Application for Hospital ID (Kliniksausweis)

Students who will do practical work in any of the university hospitals need a hospital ID.

Regarding the required attachments, we are in discussion with the hospital administration.

  • Proof of immatriculation will be available to you only after you have arrived (we are negotiating alternative methods of authorization)
  • Copy of passport / identity card: is required
  • Proof of vaccination / immune status regarding COV-19 and measles is already on file

We will let you know once we know whether you should send the application + attachments to the International Office or to the hospital administration.

In October, we will be offering three different events for you to get to know each other, the university and the campus, the city of Ulm and a bit of history:

  • Library Tour: Friday, October 14 2022 | 10:00
    On-site library tour at the central library, with basic information about the library's physical layout, how to use it, the book and periodical stacks, and workstations and cubicles.
     
  • Ulm Adventure Tour: October 14 2022 | 19:00
    Were the good old days really that good? Learn about life in Ulm in the Middle Ages, crime and punishment. The hangman is your guide.   
     
  • Welcome Day: October 15 2022 (full day, times t.b.a)
    A full day of fun for all newcomers! Explore the campus on Segways, discover the Botanical Garden and develop intercultural awareness. 

Places for these offers are limited. A sign-up form will be provided end of September.
