Microsoft Campus Agreement

The Campus & School Programme (Campus Agreement) from Microsoft is a rental licence model that is available to

  • Employees of Ulm University(not the hospital) and
  • students on pool computers

the free use of certain software until 30 April 2030. The right of use is limited to work computers owned by Ulm University.

The software (Microsoft Windows and Microsoft Office) can be downloaded after authentication via the kiz Web Services portal (under: "Software to download").

Both the installation and the subsequent activation must be carried out with administrator rights. Activation must be carried out manually once; the corresponding instructions can be found on the respective product page in the software portal. Re-activation takes place automatically, but only if the computer is in the University's LAN (campus network) or a VPN connection to the campus network has been established. Activation cannot be carried out via a WLAN connection.

Security information from the State Commissioner for Data Protection

The kiz recommends at least the use of Windows 10 Enterprise, provided that the operating system is adapted to the safety-relevant requirements. The BSI (Federal Office for Information Security) has compiled a guide with recommendations for hardening Windows 10 with on-board resources for data protection-friendly use. This guide can also be used for Windows 11. The kiz (Communication and Information Centre) strongly advises users of Windows 10/11 to make the security settings of the operating system in accordance with the recommendations given there.

Desktop products in the Campus Agreement

The Campus Agreement includes the following desktop products:

  • Windows Enterprise Upgrade
  • Office Professional Plus
  • Office (MAC)

Please note that you must have purchased a basic operating system licence (e.g. Windows OEM) for your computer in order to use the Windows upgrade. When purchasing new hardware, we therefore strongly recommend that you purchase a Windows OEM licence together with the hardware (a computer delivered by the dealer with an operating system does not automatically mean that a right of use has also been acquired for this!)

It is expressly pointed out that you may only install products for which you have a licence if you have read and understood the usage rights and restrictions for the respective products and agree to the terms and conditions.

In addition to the desktop products, other additional products can be obtained from Microsoft as rental licences for a fee. If you would like to take advantage of this offer or have any questions, please create a ticket with your enquiry via the Help Desk(helpdesk(at)uni-ulm.de).

Downgrade right / cross-platform right

Licences from the MS Campus Agreement entitle you to install the latest version. Alternatively, previous versions may be used (downgrade right) and platform changes may be carried out (cross-platform right).

Software Assurance

The Campus Agreement includes "Software Assurance" for the above-mentioned products. This entitles you to use all newer versions of the above-mentioned products that are released within the rental period.

Office for private use

Students can rent a licence for Microsoft Office 365 Pro Plus for €3.99 per year as part of the state contract (employees are expressly excluded from this). Prices

The desktop platform products from the Microsoft Campus Agreement are financed by a central levy and made available to authorised end users as free rental licences during the term of the agreement.
